Minutes of the August 4, 2008 Members Meeting

The meeting began at 7:05 p.m. on Monday, August 4, 2008

Secretary’s Report

Minutes of the June meeting were presented and approved.

Treasurer’s Report:
  1. Don Loomis reported that we had a balance of $1700.02 as of 07/31/2008
  2. Cash box was shorted $125.00 possibly because monies were not collected from participants. 26 cars ran and only 21 cars were accounted for.
  3. Don suggested that we go back to tech cards to make sure participants have paid

Membership Chairman’s Report:
  1. Records are showing 104 members although some do not even live in Texas or southern New Mexico. 98 members are current and 5 members are up for renewal. Of those 98 members, Dave estimates that 25 are �core� members who do most of the participation.
  2. E-mails have been sent to those who have an expired membership. Enforcement of the current membership will need to be done by taking your membership card when you attend an event.
  3. Dave Lehrschall has drafted a letter to the club about lack of participation and encouraging new member recruitment. He will be broadcasting this letter via e-mail and/or the website. The club needs ideas on getting more people involved and interested in racing.
Timing and Scoring
  1. Scores and points are updated and posted on the website.
  2. to date, only 10 people qualify for points standings for awards.
  3. Only 4 events left in the season. In order to qualify for points awards, there must be a minimum of 8 events. One of the upcoming events in the year is a 2 day runoff.
  4. Jose Gerardo has agreed to not be counted in the PAX calculations with the carts.
Solo Chairman’s Report:
  1. Trailer registration is due and Dave will be looking into getting that current.
  2. Preregistration is a must. This helps to determine what vehicles are running and how the course is to be setup safely (i.e. karts). Please make every effort to preregister.
  3. We need to welcome first time participants to the events during the drivers meetings. This will hopefully make the new participants feel welcome and more comfortable with what we are all about.
  4. Tech cards will be required for SCCA regulations and we will be going back to the old format where a small sticker was placed on the windshield to identify that the vehicle has been teched.
Club Racing Chairman’s Report:
  1. We are halfway through the season with great results. There are 4 active members 2 competing in national events and 2 competing in regional events.
  2. John Basler attended driving school in Colorado and was allowed to race. Congratulations to John for his victory at the event. There are only a couple of races left before he is eligible to get his regional license. Good luck to him.
  3. August 16th is an open track day at Arroyo Seco. Cost should be $75-80 for the day
  4. September 13th and 14th is the next regional race at La Junta.
  5. Richard Dziak has setup a website for Pan Am Club racers www.formularacingltd.com
  6. Club racing is the strongest it has ever been.
Rally Report:
  1. The event on July 20th was a great success. Clovis and the participants were pleased with the new "Monte Carlo" format.
  2. 21st of September is the next scheduled rally and it will also be of the Monte Carlo format. This event may not be SCCA sanctioned. Instead it will be sanctioned by the Southwest Road Rally. This rally will have "tulip" format instructions and will be FREE to participate. All Clovis asks is for a small donation to help pay for the insurance needed to have the event.
  3. Event will start at the NM welcome center and be roughly 60 miles.

    1. An idea was brought up to change the monthly members meeting to coincide with the cruise in at La Terraza restaurant held by Rio Grande wheels and the Mopar club. Members would be asked to take their vehicles out in Solo form (numbers) to help create an interest and make people aware that this type of racing exists. The next members meeting will be scheduled once we have confirmation on the next date at La Terraza. Please visit the website for updates to the location and date of the next members meeting.
